OFFICIAL CORRESPONDENCES THROUGH E-MAILS: -

With the modernization of official business system more and more use of E-mail communication have become necessary. E-mail communication by offices are however welcomed by every one since considering faster disposal, hazard free services etc. Particularly the system is very useful to those who cannot move due to old age disability and disabled persons of the society.

While appreciating introduction of the system it is to mention that certain norms needed be introduced to issue E-mails for communicating official decisions / orders etc. There is big difference in communicating traditional official letter duly signed and sealed by the issuing authority where as at E-mails, signature and seals are not available.

In most of the cases it is observed that while high ranking officers of the administration used to issue E-mails indicating their name and designation on their officially allotted e-mail ID but others do not use their name and designation at official e-mails rather prefer to use ‘name of the office’ or “Sec in-charge” etc. The out come of such e-mails are not cognized by officials when chasing is made where as mails duly named with proper designation are located easily and can be acted with out any trouble.. It oftenly noticed that official allotted e-mail ID’s of an official is being used by other person for private reasons like facebook, orkut etc. There has been no trouble to identify e-mails with relevant records where high officials used to indicate their name and designation at e-mail correspondences. (A large number of such cases have already been posted at different web sites for public view during past several months)

Now it may be expected that appropriate level at the government level may like to issue some guide line for issue of official e-mails by officers using their name, proper designation for proper identification and use of official e-mail “ID”s by the authorized person only to arrest misuse of official e-mails. Use of E-mail at offices cannot be stopped now a day but requires to be used more carefully and intelligently for better services to the nation.
